Tasks Management for Owners & Managers
Create, edit, assign, and track cleaning tasks, so your property stays guest-ready with minimal hassle.
What is Tasks Management in Your.Rentals?
Tasks Management helps you:
- Create and assign cleaning tasks to cleaners.
- Track task progress to ensure the property is cleaned and ready for guests before each new booking.
How to Use the Tasks Management Tool
Accessing the Tool
- Go to the Menu bar and click on Tools.
- Select Tasks Management.
- You’ll see options to Create a Task Template or Invite Member.
Inviting Team Members
You can invite cleaners or team members to manage assigned tasks. Here’s how:
- Enter the Member’s Email Address:
- Enter the email of the person you want to invite.
- Set the Role:
- The default role is Cleaner, who can view and update the progress of their assigned tasks.

- Send the Invitation:
- Click Invite Member. The system will automatically send an invitation via email to the member.
Note:
- The member invitation will expire after 1 month.
- They will need to register for an account in Your.Rentals' member portal to access their assigned tasks.

- Remove Members: Click the three dots next to a member’s name to remove them.
Creating a Task Template
You can use a task template to create recurring tasks for each booking. Just set up one universal template, and every time you receive a booking, we’ll automatically create a task for it. Follow these steps to create one:
- Describe the Template:
- Template Name: Give your task a clear name for easy identification (e.g., “Check-out Cleaning”).
- Description: Provide a clear description of the cleaning task. For instance, request a full check-out cleaning or regular housekeeping. Specify details like checking lamp functionality or ensuring kitchen appliances are clean. This helps the cleaner meet your expectations effectively.
- Template Name: Give your task a clear name for easy identification (e.g., “Check-out Cleaning”).
- Assign the Task:
- I’ll Assign the Task Later: Select this if you haven’t yet invited a team member or they haven’t accepted your invitation.
- Assign to a Specific Member: You can assign the task only to members who have already accepted the invitation.
- I’ll Assign the Task Later: Select this if you haven’t yet invited a team member or they haven’t accepted your invitation.
- Apply the Task to Listings:
- Choose the listing(s) where this cleaning task will apply.
- Choose the listing(s) where this cleaning task will apply.
- Choose When to Create Tasks:
All existing and new bookings – Tasks will be created for bookings that already exist and for any new ones added later.
Only new bookings – Tasks will only be created for bookings added after this setting is turned on.

- Set the task deadline to ensure the cleaning is completed before the next guest arrives. You can set the rules based on the following options:
- 1 to 23 hours
- 1 to 7 days
- Before/after check-in/check-out

5. After entering all the details, click Create template.
Editing or Deleting Templates:
After creating a task template, you can edit or delete it by clicking on the three-dot symbol next to the template.
If you edit the template, the changes will only apply to new tasks. Existing tasks won’t be affected.
Important Note: All tasks
Tasks created from your template will appear in the "All Tasks" tab depending on the rule you choose:
- If you select "All existing and new bookings", tasks for existing bookings will appear right away.
- If you select "Only new bookings", tasks will appear only when a new booking is made—so you might not see any tasks immediately.
- In both cases, once a task is created, it will show up under "All Tasks", and the assigned team member will get an email notification.
Creating Tasks Not Tied to Bookings
If you want to create a task that isn’t connected to a booking, go to the “All Tasks” page and click “Create Task.”
Note: Tasks not related to a booking (for example, cleaning windows) can only be assigned to one listing at a time.
