Tasks Management for Owners & Managers

Create, edit, assign, and track cleaning tasks, so your property stays guest-ready with minimal hassle.

What is Tasks Management in Your.Rentals?

In its current state, Tasks Management helps property owners:

  • Create and assign cleaning tasks to cleaners.
  • Track task progress to ensure the property is cleaned and ready for guests before each new booking.

How to Use the Tasks Management Tool

Step 1: Accessing the Tool

  1. Go to the Menu bar and click on Tools.
  2. Select Tasks Management.



  3. You’ll see options to Create a Task Template or Invite Member.

 

Step 2: Inviting Team Members

You can invite cleaners or team members to manage assigned tasks. Here’s how:

  1. Enter the Member’s Email Address:
    • Enter the email of the person you want to invite.
  2. Set the Role:
    • The default role is Cleaner, who can view and update the progress of their assigned tasks. (A “Cleaning Agency” role with additional permissions will be introduced later.)
  3. Send the Invitation:
    • Click Invite Member. The system will automatically send an invitation via email to the member.

Important:

  • The member invitation will expire after 1 month.
  • They will need to register for an account in Your.Rentals' member portal to access their assigned tasks.
  • Once the invitation is accepted, the member’s status will change to Active.

          4.    Managing Team Members:
    • In the Team Members Dashboard, you can manage invitations by clicking on the three-dot symbol next to a member’s name.
    • Remove Members: You can also remove a member if needed.

By using the Tasks Management Tool, you’ll save time, reduce stress, and ensure your property is always clean and ready to welcome guests!

 

Step 3: Creating a Task Template

A task template allows you to define cleaning tasks and assign them to specific team members. Follow these steps to create one:

  1. Describe the Template:
    • Template Name: Give your task a clear name for easy identification (e.g., “Check-out Cleaning”).

    • Description: Provide a clear description of the cleaning task. For instance, request a full check-out cleaning or regular housekeeping. Specify details like checking lamp functionality or ensuring kitchen appliances are clean. This helps the cleaner meet your expectations effectively.
  2. Assign the Task:
    • I’ll Assign the Task Later: Select this if you haven’t yet invited a team member or they haven’t accepted your invitation.

    • Assign to a Specific Member: You can assign the task only to members who have already accepted the invitation and accessed the Assignee Portal.

  3. Apply the Task to Listings:
    • Choose the listing(s) where this cleaning task will apply.

  4. Set Scheduling Rules:
    • Currently, tasks are automatically created for every new booking. If a booking already exists, creating a template won’t trigger a task.
**Note: In the future, you’ll be able to turn off automatic tasks. This means the system won’t create tasks for you based on bookings—you’ll be able to add them yourself when you need to.)
    • Set the task deadline to ensure the cleaning is completed before the next guest arrives. You can set the rules based on the following options:
      • 1 to 23 hours
      • 1 to 7 days
      • Before/after check-in/check-out

          5.   After entering all the details, click Save.

     

    Editing or Deleting Templates:

    After creating a task template, you can edit or delete it by clicking on the three-dot symbol next to the template.

     

    Important note:

    • After creating a task template, you may notice that no tasks appear immediately under the "All Tasks" tab. This is because tasks are only generated when a booking is received for the assigned listing.
    • Once a booking is made, a task will be automatically created and displayed under "All Tasks." The assigned team member will also receive an email notification about the new task.
    • Please note that manual task creation is not yet available, but this feature will be introduced soon.
